Job Summary: Under limited supervision, assists the department head or director in the day-to-day operations of a program. Oversees the program support, general office, administrative and secretarial duties with some variety and complexity. Typical duties may include overseeing some aspects of the program, acting as the main liaison to other offices within the University as well as external contacts, maintaining budget records, supervising other support staff and-or students, arranging meetings-itineraries-agendas, typing a variety of material, compiling data and preparing reports, and purchasing office and program supplies and materials.
Additional Department Summary: The Program Assistant will support the work of the Office of the Vice President for Student Life, primarily in the areas of: External Engagement, Divisional Communication, Event Planning, and Office Administration. The position will support divisional communication efforts for both internal and external constituents; serve as a direct contact for donors, potential donors, and alumni; work directly with communication and external engagement staff on scheduling, project management, event planning, travel, etc.; assist with divisional scholarship processes. Additionally, the Program Assistant will be responsible for complex database management, credit card processing, and financial reconciliation of multiple accounts. Reporting to the Assistant to the Vice President, the Program Assistant will provide office management and administrative support to a variety of staff members, will serve as a back-up to the Administrative Assistant in the VP office, and will assist with multiple events and programs throughout the year. Responsible for completing required training related to UA policies/procedures and laws/regulations that create a more hospitable and respectful workplace and safer work environment. Has personal accountability for financial reporting and responsibility for establishing, enforcing, and following internal processes and controls as outlined in UA policies and procedures.
Required Minimum Qualifications: High school diploma or the equivalent and three (3) years of general office experience; OR Associate's degree and one (1) year of general office experience; OR a Bachelor's degree.
Skills and Knowledge: Excellent written and verbal communication. High-quality editing skills related to writing, copy editing, proof-reading, etc. Ability to work on several projects at the same time, and the flexibility to adjust as project priorities change. Demonstrated commitment to expand multicultural knowledge, awareness, and skills as evidenced through: demonstrating self awareness; understanding and valuing others; demonstrating knowledge of social inequalities; interacting effectively with a diversity of people; fostering equity and inclusion.
Preferred Qualifications: Experience may include general office work, budgeting, customer service, and public relations/marketing or other relevant experience. Bachelor's degree or college courses in Business, Advertising or Marketing preferred. Some experience in Higher Education, Student Affairs, or related field preferred.
